What the catalogue collects
The catalogue has no enquiry form, newsletter subscription or payment form. Product selections, comparisons, search text and destination choices are held only in the open page’s memory and reset on reload. They are not submitted as an order or saved in a customer database. Downloading a selection creates a file on your device, without sending an enquiry to us.
Catalogue chat assistant
The automated FAQ assistant matches questions to information already in the catalogue. It does not connect to an AI provider or a live agent. Questions and answers remain in the open page’s memory and are cleared on reload, page closure or when you select Clear conversation. They are not sent to the operator or saved in a customer database. Please do not enter personal or order details.
Hosting and access
OpenAI provides the ChatGPT Sites hosting service. Serving and protecting the website involves processing connection information such as IP addresses, browser details and request times. Access to a restricted version may involve ChatGPT account authentication. The catalogue does not request your ChatGPT password or read profile information.
OpenAI’s processing for its own account and platform services is described in its Europe privacy policy. Hosting-related processing is subject to the hosting terms applicable to this site. We do not promise that hosting data is stored only in Ireland or the EU; processing locations and transfer arrangements must be checked against those terms.
Correspondence and lawful purposes
If you write to us, we use the name, contact details and information you provide to respond. Our legitimate interests are answering enquiries, protecting the business and resolving complaints. Where your request concerns a purchase, necessary processing can also support steps you ask us to take before a contract or performance of that contract. Information needed to meet a legal obligation is handled on that basis. We do not use this catalogue to send marketing or make automated decisions about you.
Sharing and retention
Information is shared only as needed with hosting and communication providers, professional advisers or authorities where legally required. A return or repair may require sharing contact and product details with the relevant carrier or service centre; the arrangements will be explained when organised.
Page selections last only until reload or closure; downloaded files remain under your control. Correspondence is retained while needed to answer the request, resolve any complaint and meet applicable recordkeeping or legal-claim requirements, then deleted or anonymised. Platform records follow the applicable hosting and account retention terms.
Your rights
Subject to the GDPR’s conditions, you may request access, correction, deletion, restriction or portability of your personal data, object to processing based on legitimate interests, and withdraw any consent you have given. Send requests to sales@akitajp.com or the operator’s postal address. We normally respond within one month; lawful extensions may apply and will be explained. You may complain to the Irish Data Protection Commission or your local supervisory authority.

Invoice request forms
We use Formspree to receive invoice requests and send notifications to our business mailbox. Submitted information includes your contact and delivery details, selected products, company or VAT details if provided, and notes. We use it to respond to your request and prepare an invoice. Please do not include payment card details or identity documents. Formspree processes form submissions on our behalf.
Card payments
We use Stripe to process card payments for confirmed invoices. We provide Stripe with the invoice reference, product description, confirmed amounts and buyer email address. You enter card and billing details directly on Stripe’s hosted payment page. Our website does not receive or store your full card number or security code. Stripe keeps payment records and processes payment and fraud-prevention information under its applicable terms. We use payment status and transaction records to reconcile your invoice, handle your order and meet accounting obligations. A payment receipt is sent to your invoice email address after a successful payment.
PayPal payments
If you choose PayPal after confirming your invoice, PayPal processes your payment. We share the invoice reference, product description and confirmed amount with PayPal. PayPal handles your login and payment details on its own pages. We do not store your PayPal password. AKITAJP PRO checks the payment status before dispatch.
